How to Create an Email Client Password for NiceNIC Business Email

Using Outlook, Apple Mail, Thunderbird, or Foxmail with your NiceNIC Business Email? You can create a separate password for your email client.

In NiceNIC Webmail, this password is called a Client authorization code. Enter it in your email client's normal Password field.

This guide walks you through two tasks:

  1. In NiceNIC Webmail: Create and save your email client password.
  2. In your email client: Enter that password for your NiceNIC Business Email account.

Before You Start

Have your full Business Email address and its current mailbox password ready. You will use these to sign in to Webmail. Your mailbox password may be different from your NiceNIC website account password.

Please keep these points in mind:

  • Your regular password remains the password you use to sign in to NiceNIC Webmail.
  • Once you enable client authorization codes, your email clients must use an authorization code instead of your regular mailbox password.
  • If your mailbox is already connected to other email clients or devices, you will also need to update their saved passwords.

Important: The generated code is displayed only once. Copy and save it before closing the window. If you close the window without saving it, you will need to generate a new code.

Step 1: Open the Client Authorization Code Settings

  1. Open NiceNIC Webmail in your browser.
  2. Sign in with the full email address of the mailbox you want to connect and its current mailbox password.
  3. Click Settings in the upper-right corner.
  4. Scroll down the menu on the left and expand Advanced settings.
  5. Click Client authorization code.

For example, if you want to use [email protected] in Outlook, sign in to Webmail with that email address. The account shown in the screenshots is an example.

Step 2: Enable Authorization Codes

On the Client authorization code page:

  1. Find Set the client authorization code.
  2. Select Open to enable the feature.
  3. Click the red Add authorization code button.

If Open is already selected, click Add authorization code to create a new code.

After enabling this feature, continue with the following steps to create a code and update your email client. An existing client may ask for a password until you update it.

Step 3: Name and Generate Your Email Client Password

An Add authorization code window will appear.

  1. In Purpose, enter a name that helps you recognize where you will use the code. Examples include Outlook Laptop, Apple Mail iPhone, or Foxmail Desktop.
  2. Leave Randomly generate authorization code (recommended) selected.
  3. Click Yes to generate the code.

The Purpose field is only a label for your reference. It is not the password you will enter in your email client.

The window also offers Customize authorization code. For this guide, use the recommended random generation option.

You can repeat these steps to create a separate code for another email client or device. Give each code a clear name so you can identify it later.

Step 4: Copy and Save the Code Before Closing

The next window displays your new authorization code.

Do not close this window until you have copied and saved the code. You cannot reopen it later to view the same code.

  1. Click copy next to the generated code.
  2. Paste the code into a secure place, such as a password manager. Save it with the email address and the client or device name.
  3. Check that the complete code has been saved.
  4. Click Close only after you have finished.

Clicking copy puts the code on your clipboard; it does not save it permanently. Copying something else may replace it.

Already closed the window without saving?
Return to Client authorization code, click Add authorization code, and generate a new one.

Step 5: Enter the Password in Your Email Client

Now open Outlook, Apple Mail, Thunderbird, Foxmail, or the email client you want to use.

If you are adding your mailbox for the first time:

Start the email client's Add account process. When asked for your account details, enter:

  • Email address / Username: Your full NiceNIC Business Email address, such as [email protected].
  • Password: The authorization code you generated in Step 3.

If your mailbox is already added:

Open the settings for that email account and replace its saved password with the new authorization code. If the client displays a password prompt, enter the authorization code there.

Use the normal Password field.
You do not need to find a separate field called "Client authorization code."

Some clients have separate password settings for incoming mail and outgoing mail:

  • Incoming mail (IMAP or POP): Enter the authorization code.
  • Outgoing mail (SMTP): Enter the same authorization code for that account in that client.

If the client asks for server addresses, ports, or connection settings, open Client Config at the top of NiceNIC Webmail and use the settings shown for your mailbox.

Save your changes. Then send a test message to another email address and reply to it to check that both sending and receiving work.
